Know what needs to be recoverable
List the records, reports, configuration and documents your organisation cannot afford to lose. Include customer or student records, financial data, operational history, permissions and key attachments where applicable.

Use exports as an operational control
Schedule regular exports for critical reports and keep copies in a controlled location. Restrict export access to trusted roles because an export can contain more information than a single screen.
Record when an export was created, who owns it and how long it should be retained.
Test the recovery path
A backup is only useful if the organisation can use it. Test how the team would reconstruct a report, verify a transaction or restore an operational process after a disruption.
Keep a short written recovery runbook and update it whenever modules, roles or workflows change.
