What activity history is for

Activity history provides context around a record: what changed, when it changed and which user or workflow made the change. It supports operational follow-up, handovers and compliance review.

Use it when a team needs to understand why a status, amount, owner or schedule changed.

Pair history with permissions

An audit trail is most useful when roles and approval rules are clear. If many users can change a sensitive record, the history may show the action but still leave the organisation with avoidable ambiguity.

Use approval steps and least privilege for high-impact actions such as finance changes, access updates and data exports.

Review exceptions, not only successes

Workflow failures, rejected approvals and repeated edits often reveal a process that needs redesign. Turn recurring exceptions into a documented rule, a better form or an automation improvement.

Keep reviews proportionate to the risk and industry requirements of the record.
