Designing automation workflows

A practical guide to triggers, conditions, actions, approvals, notifications and exception handling in NexOperate.

Start with an operational event

Define the event that should start the workflow: a record created, a status changed, a threshold reached, a date approaching or an approval requested. A precise trigger prevents unnecessary notifications and duplicate actions.

Name workflows after the outcome they create, such as ‘Escalate overdue service work order’ or ‘Notify finance when stock purchase is approved’.

Add conditions and actions

Use conditions to narrow the workflow to the relevant location, customer, department, amount, priority or owner. Then select the smallest set of actions that moves the record forward.

Common actions include assigning work, creating a follow-up, updating a field, notifying a role, preparing a document or sending an item for approval.

Test, approve and monitor

Test with a controlled record before enabling a workflow for a whole organisation. Confirm that the recipient, timing, permissions and failure path are correct.

Monitor workflow activity and review exceptions regularly. A workflow that silently fails or sends too many notifications should be adjusted rather than ignored.
